Vacancy: Executive Assistant

Summary

The Executive Assistant is a supportive force who empowers our senior leadership to deliver the mission of a growing non-profit and multistakeholder organization. They are a proactive problem solver with exceptional communication skills and meticulous attention for detail.

This person should have experience working in an on-line/remote office environment, performing administrative duties, and providing support to the leadership. Given the dynamic nature of the role, the Executive Assistant will need to be flexible and consistent while maintaining the confidentiality of organizational data, systems and operations.

Primary Duties and Responsibilities

  • Support the CEO and COO primarily, and provide additional support to senior management team members, as directed, to ensure that organization goals and objectives are accomplished and that operations run efficiently.

  • Maintain, refine and improve current processes and optimize procedures for efficiency and productivity, related to strategic implementation & governance.

  • Assist and communicate with leadership in resource coordination, decision-making, program management, and initiative implementation.

  • Plan and orchestrate work to ensure that leadership priorities are met, organizational goals are achieved, and best practices are upheld.

Responsibilities

Leadership support:

  • Coordinate scheduling & calendar management for the CEO and COO (and Senior Management Team (SMT) on ad-hoc basis), as well as content and flow of information to the SMT and the Board.

  • Support in scheduling & planning meetings and activities for the CEO and COO and managing other leadership logistics.

  • Provide administrative and office support for the CEO and COO and wider SMT, such as seeing through processing of contracts with service providers and partners, and maintenance of (digital) filing and CRM systems.

  • Able to take on, manage and complete small projects for CEO and COO.

Governance support:

  • Coordinate planning of Board and Committee meetings, prepare and send pre-reads, take minutes.

  • Support in Board elections.

  • Assist with onboarding new board members.

  • Serve as liaison for Board members on information requests. Ensure transparent and accessible information for Board members.

Streamlining strategic implementation and efficiency:

  • Support CEO/ Senior Managers in coordination with staff regarding strategic vision & leadership and governance.

  • Support and coordinate the annual strategic planning process.

  • Support the COO to maintain and develop SLCP’s risk register.

  • Develop and build on relationships throughout the organization for responsiveness of strategic operations and help define new operational activities by working with CEO, COO and senior managers on special projects.

  • Work with the CEO, COO and SMT to enhance & implement effectiveness and efficiency related tools, policies and procedures.

    From time to time the Executive Assistant may be required to support with other relevant duties and activities, in line with SLCP’s position as a small but growing organization.

Required skills and qualifications

  • Four or more years of experience in an administrative role reporting directly to upper management.

  • Confident self-starter with the ability to take initiative and get things done.

  • Structure oriented and keen attention to detail with the patience and rigor to carry out tasks accurately and to a high quality.

  • Fully proficient in the English language, including high-quality written English. Dutch is an advantage.

  • High level of integrity and discretion, awareness of sensitivity of information, maintaining a professional approach and work ethic and strict confidentiality with sensitive information and documents.

  • Proficient in Microsoft Office (Word, Excel & PowerPoint in particular) and experience/quick learner in other software tools.

  • Customer service oriented, willing to support team-mates & board members and to prioritize wider needs of the organization.

  • Strong time-management skills and an ability to organize and coordinate multiple concurrent projects.

  • Flexible team player, willing to adapt to changes and unafraid of challenges.

  • Experience in developing internal processes and (digital) filing systems.

  • Energetic mindset, focused on developing creative and innovative solutions.

  • Proven success in a project coordination/management role, and experience in managing internal events would be an advantage.

The Executive Assistant will ideally be based in the Netherlands within commuting distance of Amsterdam for regular in-person check ins with CEO.
